About the Role

AdeptID is looking for an Office Manager to join the Boston office. You'll be the hub of our Boston office - the person who keeps things running, makes the space feel alive, and ensures every detail is taken care of before anyone has to ask.

We're a growing AI company, and our Boston office is where teams connect, new hires hit the ground running, and the culture gets built in real time. This role sits at the center of it all, working closely with IT, Finance, and People Operations to keep our day-to-day humming.

We're looking for someone who genuinely enjoys the work of administration and is ready to take ownership - not just of the to-do list, but of the experience of working here.

Key Responsibilities

Office & Operations

  • Keep the office stocked, organized, and genuinely enjoyable - snacks, supplies, and all the details that make the space feel great
  • Own daily mail distribution, shipping, and receiving - including FedEx coordination for new hire equipment and exiting employee returns
  • Manage company swag inventory, ensuring kits are ready and waiting for every new hire before their first day
  • Maintain and update the company organizational chart as the team grows
  • Assist with IT hardware and peripheral inventory, desk and monitor setup, and keeping the office printer running smoothly

Culture & Employee Experience

  • Serve as a core member of the Culture Club - helping shape what it feels like to work here
  • Proactively generate and pitch ideas for employee experiences, team traditions, and office moments worth remembering
  • Plan and execute office lunches, team meals, and recurring in-office events that bring people together
  • Coordinate onsite events for employees traveling to Boston, managing all logistics end-to-end
  • Own the annual company offsite from start to finish - venue, vendors, travel, and scheduling - making it a highlight of the year

Cross-functional Support

  • Partner closely with IT, Finance, and People Operations - filling gaps, supporting initiatives, and keeping things moving
  • Support weekly company meetings including logistics, setup, and communications
  • Be the institutional knowledge holder for "how things work" in the Boston office - the person everyone turns to

Experience & Qualifications

Required

  • Experience in an administrative, operations, or office coordination role
  • Exceptional organizational skills - you notice what's missing before anyone else does
  • A natural collaborator who's energized by working across teams
  • Self-starter who manages competing priorities without dropping the ball
  • Strong written and verbal communication skills
  • Proficiency with Google Workspace, Microsoft Office, or similar tools
