The Workplace team provides support for every employee at Asana, from creating a welcoming experience upon entry to all of our global offices, to designing, building and maintaining comfortable, inclusive, work environments across the globe. We're looking for a part-time Workplace Coordinator to oversee office operations at our growing Reykjavik office. The Workplace Coordinator will create a positive experience for all Asana employees in Reykjavik by providing consistent operational support and managing a safe, inclusive, and fun environment.

This role is based in our Reykjavik office with an office-centric schedule. The standard in-office days are Monday, Tuesday, and Thursday. Most Asanas have the option to work from home on Wednesdays. Working from home on Fridays depends on the type of work you do and the teams with which you partner. What you’ll achieve

  • Responsible for day-to-day office operations for Asana Reykjavik, including vendor relationships and keeping supplies well-stocked.
  • Create a positive employee experience for Reykjavik Asanas by providing exceptional Workplace support.
  • Coordinate Reykjavik events, celebrations, and traditions, in partnership with the Internal Events and the Employee engagement teams. Help the local teams plan team off-sites and be a cultural role model for other Asanas.
  • Partner with the Global Workplace team to ensure the Reykjavik office meets global standards of office design, maintenance, organization and safety & security
  • Partner with People and IT to ensure organized onboarding of new employees and ongoing smooth operational support.
  • Partner with Global Finance, Accounting and Legal teams, acting as their point of contact for the Reykjavik office.
  • Spot opportunities to create and improve systems and processes that will scale with the office as we grow; work with global teams to ensure that the Reykjavik office is aligned with the global teams in scope as we scale
  • Manage and coordinate logistics for internal and external meetings and travel arrangements, including supporting recruiting efforts

About you

  • Strong written and verbal communication in English and Icelandic
  • A passion for managing an overall positive employee experience through ongoing operational support
  • Previous office operations experience, with an independent and entrepreneurial mindset
  • Strong ability to manage competing priorities and projects
  • Great interpersonal and communication skills, with the ability to build relationships across departments, work collaboratively, and manage conflict constructively
  • Strong coordination and collaboration skills – can both execute and delegate as needed
  • Comfortable making decisions in a fast-paced, ever-growing environment
  • Are technologically savvy with the ability to quickly adapt to new applications and tools
