The People Team at Asana works to enable all Asanas to achieve our goals as a company in a way that is consistent with our values. We focus on recruiting, developing, and retaining exceptional talent from diverse backgrounds, ensuring that everyone can thrive, grow, and make a meaningful impact. Our work supports Asana’s broader mission: to help humanity thrive by enabling all teams to collaborate seamlessly and effectively.

We are seeking a strategic and hands-on People Systems Leader to oversee and optimize our technology ecosystem supporting the People Team. This pivotal role will be responsible for the vision, implementation, and ongoing management of all people-related systems, ensuring efficiency, data integrity, and a seamless experience for our employees. You will partner closely with cross-functional teams, including People Operations, Talent Acquisition, Total Rewards, Finance, and IT, to identify needs, implement solutions, and drive continuous improvement. This is an exciting opportunity to shape the future of our People Team and contribute directly to our company's growth and success.

This role is based in our Warsaw office with an office-centric hybrid schedule. The standard in-office days in our Munich office are Monday, Tuesday and Thursday. Most Asanas have the option to work from home on Wednesdays and Fridays. If you're interviewing for this role, your Talent Acquisition Partner will share more about the in-office requirements.

What you’ll achieve:

  • Build, mentor, and lead a global team of People Systems professionals, including analysts, engineers, and third-party consultants. Ensure that day-to-day system support and operations are balanced with strategic projects and initiatives.
  • Develop and execute a comprehensive people systems strategy and sprint schedule aligned with the overall People Team and company objectives. Identify opportunities to leverage technology—including AI and automation—to enhance HR processes, improve data insights, and drive operational excellence.
  • Be hands-on when needed—willing and able to project manage, configure new systems and modules, manage security, and build reports.
  • Oversee the full lifecycle of all people systems, including HRIS (Workday), ATS, performance management platforms, learning management systems, and other related technologies. This includes configuration, maintenance, upgrades, integrations, and data management.
  • Lead and manage the implementation of new systems and enhancements to existing ones, ensuring projects are delivered on time, within budget, and meet stakeholder requirements. This includes requirements gathering, vendor selection, implementation planning, testing, training, and change management.
  • Continuously evaluate existing systems and processes to identify areas for improvement, automation, and optimization. Drive initiatives that streamline workflows, reduce manual tasks, enhance data accuracy, and explore AI-driven solutions for scalable impact.
  • Ensure the integrity and accuracy of people data across all systems. Collaborate with People Analytics to develop and maintain reports and dashboards that provide valuable insights to inform decision-making—while exploring ways AI can improve predictive capabilities and data interpretation.
  • Manage relationships with systems vendors, ensuring service level agreements are met and costs are effectively managed. Evaluate new vendors and technologies, including emerging AI tools, to ensure our systems ecosystem evolves with business needs.
  • Ensure all systems on the People Team are compliant with relevant data privacy regulations and security standards.
  • Develop and deliver training materials and provide ongoing support to People Team members and employees on the effective use of people systems.
  • Partner effectively with internal stakeholders across the organization to understand their needs and ensure people systems support their requirements, including exploring AI use cases that improve employee and manager experiences.

About you:

  • 8+ years of experience in People Systems, with a focus in Workday.
  • 4+ years of people management, with experience in managing a global team.
  • Extensive Workday configuration experience across multiple modules such as HCM, Advanced Compensation, Benefits, Payroll, and Performance.
  • Deep understanding of HR processes and programs, employee life cycle, and HR data flows.
  • Experience in ATS and LMS configuration.
  • Experience with data governance, handling sensitive data, and SOX compliance.
  • Excellent project management and verbal & written communication skills; ability to translate business needs into technical requirements & effectively communicate technical information to a non-technical audience.
  • Ability to partner with stakeholders of all levels, influence decision making, and apply change management principles.
  • Customer service mindset and approach to supporting the business.
