Job Summary:
Blavity Inc. is looking for an
Sr Associate, AfroTech Client Services to support brand partnerships for AfroTech from concept through execution. The role is responsible for operational execution across an assigned portfolio of mid-tier sponsorship accounts, supporting the CS team in delivering exceptional sponsor experiences across digital campaigns and live events, including AfroTech Conference. This role will report directly to the Director, AfroTech Client Services.

Responsibilities:

  • Serve as the primary operational point of contact for assigned mid-tier accounts, managing logistics, timelines, and deliverable execution; escalating strategic decisions and relationship-level issues to the Manager or Director, AfroTech Client Services.
  • Contribute to process documentation and operational improvements as the CS team continues to scale

Pre-Conference

  • Own day-to-day logistics coordination for an assigned portfolio of AfroTech sponsors — tracking deliverable completion, flagging outstanding items, and maintaining accurate records across internal tracking systems and Asana
  • Assist CS Managers in translating SOWs and onboarding documentation into actionable task lists, timeline checkpoints, and asset trackers
  • Manage sponsor logistics communications including promo code distribution, ticket fulfillment, booth confirmations, and exhibitor resource coordination
  • Maintain accuracy of the master client tracker and Map Your Show platform; create and update Asana project cards as milestones are reached or deadlines shift
  • Participate in sponsor calls and internal team meetings; capture notes, document action items, and ensure timely follow-through on next steps

On-Site: During Conference

  • Serve as the primary on-site point of contact for assigned sponsor booths across the full duration of AfroTech Conference, including move-in, all conference days, and move-out
  • Conduct regular sponsor booth check-ins throughout conference days; resolve logistics issues in real time and escalate appropriately
  • Manage on-site coordination between sponsors, the Blavity production team, and Freeman (production partner) on the expo floor
  • Maintain floorplan familiarity and serve as first-responder for exhibitor questions, wayfinding, and on-site troubleshooting
  • Required on-site presence for the full duration of AfroTech Conference (approximately 5 days, November 2026, Houston TX)

Qualifications

  • Education: BS/BA in Marketing, Communications, Event Management or related field preferred
  • Required Experience: 3+ years’ experience in client services, account coordination, or conference/events operations at a media agency, publisher, or events company
  • Preferred Experience: 2+ year of experience in meetings, events, enterprise level client/sponsor management
  • Technologies: Fluent in Microsoft Office, Google Suite, Asana, and/or comparable project management suite, social media, familiarity with Map Your Show or exhibitor management systems a plus
  • Competencies: client coordination, client management, sponsor and exhibitor logistics, project and timeline management, cross functional communications, project management, events (digital and/or in-person)
  • Additional qualifications:
    • Proven ability to execute independently with minimal supervision — owns their task list, doesn't require frequent check-ins to stay on track
    • Comfortable in high-energy, fast-moving live event environments; able to troubleshoot in real time and escalate quickly when needed
    • Organized and detail-oriented with a demonstrated ability to manage multiple concurrent deliverables across a dynamic client portfolio
    • Clear, professional communicator — written and verbal — with both internal teams and external clients
    • LLC preferred but not required
    • Positive, team-first attitude with the ability to stay calm and solution-oriented under pressure
    • A healthy appreciation of GIFs and Black culture

Details:

  • This is a fully remote role working 29 hours per week through Q3 2026, expanding to full-time (40+ hours) in October and November to support conference season.
  • Required on-site presence at AfroTech Conference (approximately 5 days, November 2026, Houston, TX) and other live events as assigned.
  • Candidates must be available to work at least 50% in alignment with Eastern Time Zone.
  • This position will be employed through Blavity's Employer of Record (EOR) partner. The selected candidate will be an employee of the EOR and assigned to provide services to Blavity.
