We are seeking a highly organized and proactive Patient Scheduling & Intake Coordinator to help manage provider schedules, confirm appointments, and ensure patients are fully prepared for their visits.
Position Overview
The Patient Scheduling & Intake Coordinator will help keep provider schedules full and make sure patients are ready for their appointments. This person will proactively confirm visits, follow up with patients who have not completed required intake information, identify appointments at risk of cancellation or no-show, and quickly offer newly available times to other patients.
We are looking for someone who is organized, persistent, comfortable speaking with patients, and able to manage multiple provider schedules in a fast-paced remote environment.
Key Responsibilities
- Manage and monitor provider schedules.
- Confirm upcoming appointments with patients.
- Follow up with patients who have not completed required registration, consent forms, or intake information.
- Help patients understand and complete required pre-visit steps.
- Identify appointments at risk of cancellation or no-show and intervene early.
- Reschedule or cancel appointments when necessary.
- Quickly offer canceled or newly available appointment times to other patients.
- Maintain and work cancellation and wait lists.
- Contact patients by phone, text, or other approved communication methods regarding scheduling needs.
- Document scheduling activity and patient outreach accurately.
- Identify scheduling, technology, insurance, or other barriers that may prevent a patient from attending.
- Escalate issues requiring support from the broader operations, insurance, or clinical teams.
- Help optimize provider schedule utilization and reduce unused appointment capacity.
Qualifications
- 1+ years of experience in medical scheduling, patient access, medical office operations, or a similar patient-facing healthcare role.
- Experience managing appointments and communicating directly with patients.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Comfortable making frequent outbound patient calls.
- Strong attention to detail and follow-through.
- Ability to manage multiple schedules and priorities simultaneously.
- Ability to work independently in a remote environment.
Preferred Qualifications
- Experience with telehealth or virtual care.
- Experience working with older adults, Medicare, Medicaid, or complex patient populations.
- Experience with endocrinology, diabetes care, primary care, or specialty practices.
- Experience using EHR, scheduling, or practice-management platforms.
- Experience managing wait lists and backfilling canceled appointments.
- Experience working in a startup or high-growth healthcare environment.

Success means provider schedules are actively managed and patients do not simply remain on the calendar without being prepared.
