  • Duties and Responsibilities
  • Categorize all business expenses, using Quickbooks online, across two entities
  • Make sure all invoices are paid, and any delinquent invoices are pursued - ensuring the integrity of the AR / AP function
  • Making sure to respond to new business queries in a timely manner
  • Create products within Stripe, create reports, and generally manage the backend
  • Organize and systemize all of my digital paperwork, including resources, client-related files, and interactions
  • Skills
  • Highly organized
  • Experienced in creating filing systems in the past
  • Experienced in working across multiple timezones, juggling several calendars, as well as planning and booking international travel
  • Strong researcher and process oriented
  • Able to manage a team on Upwork, or elsewhere, to fill gaps in the organization such as design, digital marketing, technical writing

  • You will go through hundreds of saved articles and organize them into themes, creating lists and publish them to my website which runs off of a combination of Notion and Super.so
  • You will review, organize and systemize all of my existing and past contracts
  • You will have completely taken over weekly bookkeeping responsibilities
  • 5+ years experience supporting US-based executives
  • You will need to overlap with Lisbon mornings (8:00-12:00) Monday through Friday
  • Experience with CRM tools and Stripe
  • Expert in using modern collaboration tools (Notion, Google Workspace, Microsoft Office, Calendly, Docusend)
  • Basic understanding of US bookkeeping and accounting using Quickbooks
  • Strong internet connection and dedicated workspace
  • Excellent written English
  • Willing to work on a night shift schedule
