Enterprise Applications & Project Management Lead (Business Analyst)
The Enterprise Applications & Project Management Lead is responsible for the strategic oversight, operational management, and continuous improvement of the organization's core enterprise application portfolio (e.g., Quickbooks, Hubspot, Karbon, HRIS, CRM). This role requires a hybrid professional who excels at project execution and staff leadership, ensuring applications are successfully implemented, maintained, optimized, and fully aligned with business goals. They will act as the key liaison between Systems vendors, IT, executive leadership, and various business stakeholders.
Duties and Responsibilities:
Application Strategy: Define and execute the strategy for the enterprise application portfolio, including selection, implementation, integration, and retirement of systems.

- Become a systems integration virtuoso: Seamlessly connect our core applications (HubSpot, Karbon, QuickBooks Online,etc) to create a unified system that streamlines operations.
- Embrace data-driven insights: Leverage reporting and analytics tools to extract valuable insights from our systems, informing strategic decisions and process improvements.
- Stay ahead of the curve: Proactively research and recommend new technologies or integrations that align with our evolving needs and goals.
- Roadmapping: Develop and maintain a multi-year application roadmap that prioritizes initiatives based on business value, technical feasibility, and strategic objectives.
- Optimize workflows with a keen eye: Analyze current processes, identify bottlenecks, and design efficient solutions using the capabilities of our chosen platforms.
- Design operational workflow process and propose areas for optimization
- Analyze, Design, Automate/implement reconciliation processes
- Analyze business operating models to identify potential efficiencies by redefining responsibilities, workflows or implementing automation
- Vendor Management: Oversee relationships with third-party application vendors and service providers, managing contracts, service level agreements (SLAs), and issue escalation.
- Work in partnership with internal and 3rd party technical teams to ensure the smooth day-to-day running of the company platforms/ tools, and help with troubleshooting when needed
Project Execution & Governance
- Full Lifecycle Management: Lead and manage enterprise application projects from initial scoping through implementation, stabilization, and handover to support. This includes new system deployments, major upgrades, and complex integration projects.
- Project Governance: Establish and maintain rigorous project governance standards, including clear reporting, risk mitigation, and change control processes.
- Stakeholder Communication: Serve as the primary point of contact for project stakeholders. Masterfully manage expectations and deliver clear, timely updates to all levels, from technical teams to executive sponsors.
- Collaborate like a champion: Work closely with cross-functional teams, from operations to finance, to ensure system alignment and achieve shared objectives. - Business Analysis: Ensure project solutions accurately meet business needs by overseeing or directly performing requirements elicitation, validation, and process documentation ("as-is" and "to-be").
Team Leadership & Staff Management
- Team Development: Lead, mentor, and manage a team of Business Analysts, Application Specialists, and Support Staff. Foster a culture of accountability, continuous improvement, and collaboration.
- Be a champion of knowledge transfer: Train and support colleagues on utilizing the systems effectively, fostering a culture of technology adoption and user satisfaction.
- Performance Management: Conduct regular performance reviews, set clear goals, and manage the professional development of team members.
- Resource Allocation: Effectively allocate team resources to project tasks, support activities, and operational maintenance, balancing competing demands.
- Support Oversight: Oversee the day-to-day Level 2/3 application support operations, ensuring all incidents are resolved efficiently and within defined SLAs.
- Assist in the provision of day-to-day group level support and be a point of contact between department users and 3rd party platform/ software provider
- Support the requesting department with the preparation of ad-hoc data/ reports from the platforms/ software.
Requirements:
- Experience: 5+ years directly managing complex enterprise application implementation projects (e.g., ERP, CRM, HCM) with 3+ years managing a team.
- Project Management Expertise: Deep expertise in project management methodologies (Agile and Waterfall).
- Communication & Stakeholder Management: Exceptional written and verbal communication skills. Proven ability to build consensus, negotiate effectively, and communicate complex technical concepts to non-technical stakeholders.
- Technical Acumen: Strong understanding of system integration, data migration, and cloud-based application environments.
- Leadership: Demonstrated leadership ability in coaching, mentoring, and developing high-performing application and support teams.
- Education: Bachelor’s degree in Business Administration, Information Technology, or a related field.
- Certifications (Highly Preferred): PMP (Project Management Professional), PRINCE2, or a relevant Agile certification (e.g., CSM, SAFe).
