Role Overview

The Office of the CEO (OCEO) is a lean, high-impact function designed to maximize executive leverage and ensure the CEO’s time, energy, and attention are focused on the highest-impact work.

As an Executive Assistant I, you are the CEO’s primary in-person support during working hours in Fairfield and Oakland. This role is primarily in-person and execution-focused, translating the Senior Executive Assistant’s planning into smooth, real-time support for the CEO. Your role is to ensure the CEO stays on time, well-supported, and uninterrupted—handling physical logistics, transitions, and day-of needs so the CEO can remain focused on leadership and decision-making.

You work in close coordination with the Senior Executive Assistant and Head of the OCEO, ensuring planned priorities are executed seamlessly on the ground. This role is ideal for someone who is highly reliable, proactive, and energized by being physically present to support a fast-moving executive.

What You’ll Do


In-Person CEO Support & Timekeeping

  • Serve as the CEO’s primary on-site support in Fairfield and Oakland offices

  • Keep the CEO on schedule throughout the day, actively managing transitions between meetings

  • Monitor time in real time; flag delays, overruns, or schedule risks as they arise

  • Help ensure meetings start and end on time whenever possible

Physical Logistics & Daily Readiness

  • Manage food, beverages, and basic office needs during the workday

  • Handle errands, supplies, and ad-hoc logistical requests to keep the day running smoothly

  • Support office setup, readiness, and day-of execution for meetings and engagements

  • Drive the CEO as needed between offices, meetings, and other business engagements

Coordination with Senior Executive Assistant

  • Execute against the calendar, travel, and priorities set by the Senior Executive Assistant

  • Communicate real-time updates, constraints, or changes back to the Senior EA

  • Ensure on-the-ground realities (timing, traffic, energy, logistics) are reflected in calendar adjustments

Operating Playbook Adherence & Feedback

  • Follow and reinforce the operating playbook for in-person CEO support

  • Provide feedback to improve standards, routines, and workflows over time

What Will Help You Succeed

  • 2+ years in administrative, personal assistant, or in-person support roles

  • Present: Comfortable being physically available and responsive throughout the day

  • Organized: Strong attention to detail and time awareness

  • Service-Oriented: Proactive, flexible, and calm under pressure

  • Discreet: Trustworthy with sensitive information and personal logistics

  • In-Person Ready: Available to work from Bay Area offices (primarily Fairfield, and also Oakland and San Francisco)
